How To Quote Ceiling Systems That the D&Q Software Cannot Configure – Custom Quote

While everything we do at Tilton Coffered Ceilings is custom and built-to-order, we do have a standard practice for quoting our ceiling systems which is done by way of using our exclusive Design & Quote (D&Q) Software. Therefore, any quotation that cannot be completed by using the D&Q Software is considered to be a ‘Custom Quote’ as it requires manual review, design and price calculations to be performed by our staff.

Currently, the D&Q Software is only capable of configuring, rendering an image of and calculating a price quotation for square or rectangular shaped ceilings with a grid of equally sized square or rectangular coffers. We hope to eventually get the software developed to the point that it can configure additional ceiling shapes and beam patterns, but for now the following process is how to best obtain a ‘Custom Quote’ for projects with ceilings that are not square or rectangular and/or which have a design that calls for a Geometric or Bespoke beam pattern with or without customized enhancements:

STEP 1.
First and foremost it is important to qualify your client with a ‘Baseline Quote’ according to the closest possible ceiling configuration that can be created using the D&Q Software. If your client is comfortable with the Baseline Quote you provide and also acknowledges that they still have room in their budget to cover the additional costs of customization then a Custom Quote should most certainly be obtained.
Otherwise, if the Baseline Quote is outside of their budget range, obtaining a Custom Quote will most likely be a wasted effort as costs will certainly be at a premium versus a comparable Baseline Quote.

Tips for creating a Baseline Quote for client qualification purposes:

a) Use the greatest overall Length and Width of the custom ceiling for your dimensions.

b) Input quantities of coffers in the Number of Coffers in Length and Width fields that equate to a Total Quantity of Coffers that is as close as possible to that of the custom design. If the exact quantity of coffers cannot be obtained on the D&Q Software it is always best to have a resulting quantity that is slightly more rather than slightly less.

c)  Be sure to use the same specifications for all of the available options as is desired for the custom design such as Beam Style & Sizing, Material Type, Molding Style, Ceiling Panel Option etc.

STEP 2.
Once you have qualified your client with a baseline quotation as described above, the next step is to submit you Custom Quote request to us at info@tiltoncofferedceilings.com  Your request should include the Baseline Quote you created using the D&Q Software along with any and all specifications desired for the custom design. Pictures of similar designs and/or rough sketches of the design desired are always helpful and recommended.

We will review any and all information submitted and get back to you within 24 hours by email or phone to confirm receipt of your Custom Quote request as well as to inquire with any initial questions or concerns we might have.

STEP 3.
Your Custom Quote request will be carefully reviewed and a flat fee will be determined to complete your request. The fee covers the drafting time required on our end to complete the Plan View and Section design drawing in CAD that are needed to accurately quote the ceiling system and to provide you and your client with a visual representation of the finished product.

Custom Quote fees start at $75 per ceiling and go up from there depending on the complexity of the design. In most cases the fee will be about 2.5 – 5% of the Baseline Quote price. For example, if the Baseline Quote were $10,000 you can expect the Custom Quote Fee to be in the $250 – $500 range.

Unless otherwise stated, all Custom Quote fees may be applied towards the total cost of the ceiling system(s) for which they were collected.

Note:
While it’s certainly at your discretion, we suggest that all Custom Quote fees be passed onto the client. If needed, we have an email template that we can provide to assist you in explaining the process and why the fee is necessary.

STEP 4.
Once the Custom Quote fee has been determined and settled we will get to work on creating the appropriate CAD drawing and determining an accurate cost for your project. Most Custom Quotes can be completed within one week of order and will be sent to you immediately upon completion along with the corresponding CAD drawing showing what the quote represents.

Review the Custom Quote and Design Drawings with your client and sell the job!
